You will need to subscribe to the MoFA service by signing up your ministry of foreign affairs. The initial signup process is quick and easy and only requires you to enter some basic data. Once approved, the user in Step 1 will receive the login credentials for the MoFA Portal.

Approximate Time Burden - 60 minutes

Congratulations. By now, your portal has been created and is active. You will now need to configure your portal to reflect your identity and to fall inline with your existing practices. Upon your first login, a Wizard will guide you through the basic setup of your portal.

Step 4 - Visa Definition Record Setup Process

Approximate Time Burden - 60 minutes per Visa

Adding Visas to the MoFA portal is easy. For each visa your MoFA issues, a Visa Definition Record is required to describe the Visa to the Framework. Each VDR requires you to enter its details, link it to a Supporting Document Matrix, and assign it a fee. You will also need to define your supported travel purposes.

Step 5 - Visa Schedule Record Setup Process

Approximate Time Burden - 30 minutes per Country

The next step is to define your Vias Immigration Schedules or your immigration rules. For each country, you will use the Visa Schedule Wizard to generate the immigration and the 90/180 rule. This needs to be done for every combination of travel purpose and citizenship type as well as passport type. The good news is that it only takes minutes to setup these rules. Step 6 - Visa Matrix Record Setup Process

Approximate Time Burden - 10 minutes per Rule

The VisaPort Visa engine uses the Visa Matrix Record(s) to determine the applicant's elligibility for a given visa. The Visa Matrix is a rule definition function that allows you to add rules to your visas. For example Document Requirements, Document Validity Terms, Financial Consideration and much more. You will need to add rules to each Visa you have defined. These are Master MoFA rules; your outposts qill localize these rules in their Portal.

Step 7 - Visa Application Package Setup Process

Approximate Time Burden - 60 minutes per VAP

The Last MoFA setup requirement is the definition of the Visa Application Package. This is the document that both the Ministry and the outpost want to receive each time an individual applies for a Visa. The VAP essentially replaces the role of the VAC where visa applications are presented in a pre-configured uniform way consistent with the practices and requirements of MoFA.

Step 8 - Outpost Setup Process

Now that your Visa information has been setup; you can begin adding your Outposts. MoFA is free to add as many outposts as it wants to manage. For outpost registered will be automatically added to your monthly commitment bill. Outposts are simply added by completing the necessary forms. Once created and localized, they are ready to receive Visa Application.

The localization process of your outpost is an Embassy Function. Localization, enables you to configure your outpost in the local language and practices and document formats. The localisation process is entirely optional and you could choose to opt for a generic outpost; however VisaPort™ best practice policy strongly recommends that you localize each outpost.

To use any eGoVisa services including VisaPort, you need to create an eGoVisa Framework account and password that you will use to sign in to all eGoVisa sites and services, including egovisa.com, VisaPort, VisaPort Travel and Securum. You can also use the same eGoVisa account to sign in to your VisaPort Smartphone App. Once your personal account is created, you will need to enroll your ministry. eGoVisa has been actively adding ministries and embassies on behalf of our future customers, if your ministry or embassy is already setup, you simply claim it, if on the other hand it has not yet been processed by our team, you simply register your ministry and confirm the registration process. Once confirmed, you can add embassies as simply as creating a record.

To begin with, you will need to configure your Ministry. A wizard will guide you through the basic setup including the Ministry contact details, the users and off course the management of the privileges. The setup process takes less than half an hour and our consultants are ready to walk you through it step by step. Once you have setup your Ministry, it is time to start adding your Visa and Immigration rules. VisaPort is equipped with hundreds of easy to use functions that enable your data to be translated into the VisaPort and eGoVisa engine specifications. We estimate it takes about one hour per visa record providing all the details are on hand. A stylized worksheet is provided to help Ministries prepare for the Visa Definition stage of their setup. Once you have configured your Visa details, it is time to start adding Embassies. A typical embasss takes around 40 minute to setup excluding the localization of the pages and data. Once embassies are created, and users assigned to them, they become instantly visible on the Framework and can be access by your authorized personnel where they can be localized.

Now that your Ministry, Embassy and Visa data have been ported into the eGoVisa Framework, you will need to localise the documents according to the local outpost's requirement. Each outpost must be localised using the in-built tools. The process of localisation refers to a number of steps, these are.

  • Translation of Pages into local language(s)
  • Setting the Visa Service Charges in the local currency
  • Configuring the Supporting Document Matrix so that it conforms to local customs and procedures
  • Where applicable, configuring local access to the host government systems

VisaPort offers Ministries the choice and flexibility of licensing and pricing models that align with today's enterprise-wide usage scenarios. Ministries can license VisaPort based on the total number of outposts that will be managed by VisaPort’s MoFA Portal. Each deployment requires one MoFA subscription and one or more outpost subscriptions. You only pay for the outposts you register and activate. VisaPort also offers various third party data feeds and payment processing features that are subject to an annual subscription. eGoVisa, in conjunction with its partners also offer other value added services such as biometric processing and de-duplication which are subject to transaction fees of $5 per applicant. These charges are collected by eGoVisa and passed on to their respective providers. You can manage your subscriptions in your MoFA dashboard, including all accounting functions.
